What Causes Emails to Go to Spam?

Missing or Broken Email Authentication

Every email you send is checked against three DNS records: SPF, DKIM, and DMARC. If any of these are missing, misconfigured, or conflicting, your emails will fail authentication — and most email providers will either send them to spam or reject them outright.

This is the single most common reason business emails land in spam.

Poor Sender Reputation

Your domain and IP address have a reputation score. If you have sent too many emails too fast, received spam complaints, or have been on a blacklist, your reputation takes a hit. Once it drops below a threshold, even perfectly written emails from a perfectly configured domain will go to spam.

Content and Formatting Triggers

How to Check if Your Emails Are Going to Spam

Before you can fix the problem, you need to know exactly what is happening:

  1. Send a test email to a Gmail, Outlook, and Yahoo account. Check whether it arrives in the inbox, spam, or not at all.
  2. Check your SPF, DKIM, and DMARC records. Use a tool like MXToolbox or Google Admin Toolbox to verify your DNS is correctly configured.
  3. Check blacklists. Search your domain and sending IP on Spamhaus, SpamCop, and Barracuda to see if you are listed.
  4. Review your DMARC reports. If you have DMARC set up with reporting enabled, your reports will show exactly which emails are passing and failing authentication.
  5. Check your email headers. The headers of a delivered email will tell you whether SPF, DKIM, and DMARC passed or failed, and which server handled the message.

Why are my emails suddenly going to spam?

The most common cause is a change to your DNS records, a policy update by your email provider, or a sudden increase in sending volume. Even a small misconfiguration in SPF or DMARC can cause emails that were delivering fine yesterday to go to spam today.

What are SPF, DKIM, and DMARC?

These are email authentication protocols. SPF tells receiving servers which IPs are allowed to send email for your domain. DKIM adds a cryptographic signature to prove the email was not altered in transit. DMARC ties SPF and DKIM together and tells receiving servers what to do when authentication fails.

How long does it take to fix email deliverability?

Technical fixes like SPF, DKIM, and DMARC can be implemented the same day. Sender reputation recovery takes 2 to 4 weeks depending on the severity. Blacklist removal can take a few days to a few weeks depending on the list.
